I was wondering if you guys would briefly share your cancellation and no show policy.

I was trying not to have to enforce this but as my practice grows I have had some unreasonable people show there ugly attitudes.

Here is my cancellation policy - I hope it helps, feel free to reuse!

CANCELLATION POLICY AND LATE ARRIVALS

While I understand that emergencies may arise, I kindly request that cancellations are made as far in advance as possible and only when absolutely necessary. Massage Therapist practitioners reserve space for you each day and are only paid when services are provided. 

Appointments cancelled in less than 48 hours to the time of their appointment and no-call, no-show situations are subject to the loss of gift certificates, special offers or previously purchased vouchers. 

If 2 or more cancellations within a 12-month period fail to provide the requested 48-hour notice, prepayment will be required for all future sessions. Prepaid sessions canceled in less than 48 hours to the time of the session will not be refunded or applied toward future sessions. 

Late arrivals lose that time from their appointment. All appointments should start 10 minutes after the appointment time and will conclude 20 minutes before the next time slot. 

I truly appreciate your understanding and patronage.

Because talking on the phone and using voice mail works best for our office, we do not accept e-mails or text messages regarding appointments.

Your re-scheduled appointment can have a positive effect on someone else if we are informed in advance. 24 to 48 hours notice is always helpful.

Please remember that once you have scheduled an appointment, all other clients are denied that block of time. You may be charged the full fee for the session, if you do not provide notice of cancellation within 24 hours of the scheduled visit.

You'll notice I have kept my last sentence with "may", when discussing the full charge for the missed session.  I did this, so that I can be very flexible when I want/need to, especially with good and long-term clients; while giving me the ability to be as strict as I wish, with people who are problematic.

Your note about the "may" is a really good point. It's rare that I actually charge someone for a missed appointment. I've had a few clients insist on paying or just send payment before I can say no. But for clients who are so rarely cancel or change their appointments, I'll let a couple slide. IF they're few and far between.

chiro had a sign, $25 missed appt w/out 24 hr notice (I have please give 24 hr notice on personal business card also) and kept note in client file to pay before next booking...if paid chiro would split payment with us (I had to keep tabs on this to see if paid on client ledger)...a house call had to cancel last minute, said they wld pay...hated to charge a senior for full pay, thought I would just charge gas, but they paid full appointment! gave big hug, but still felt weird about it...maybe I'll give extra time nxt visit..oh and I'll throw in a business card magnet and business engraved Zebra telescopic pen for thankful measure..ha
